Buntu Privacy Notice

This Privacy Notice explains how BUNTU LTD processes your personal data when you use the Buntu shop, the Buntu app and these company pages.

How you can read this Privacy Notice

We offer you more than one way of reading this document. You will find the basics in this section. Below it, we have sorted the notice into the topics that concern you and divided it into chapters accordingly.

Each chapter opens with a short paragraph that summarises it. If you only want a quick picture of everything we do with your data, it is enough to read those paragraphs. If you want to go into the details, you will find them in the sections below each one.

We have avoided cross-references wherever possible. That way you get the whole answer in the chapter you are reading. If you read this notice from start to finish, you may find that parts of the text are repeated.

1. Which data does Buntu process?

Depending on how you use our services, we process the data you give us, for example when you create an account or place an order, and data that your device sends automatically when you visit us. We generally do not buy data about you from third parties.

1.1 Account information

When you create a Buntu account, we process the information you enter, such as your name, phone number, e-mail address and password. We ask for your date of birth to confirm that you are old enough to hold an account, and you can tell us your gender if you want to. We also process your account settings, such as your preferred language.

Buntu is for adults. You need to be 18 or older to hold an account. We do not knowingly keep a child’s data, and if we learn that an account belongs to someone under 18 we close it and delete the personal data held with it.

Tip: If you are signed in to your account, you can view most of your data there and edit it directly.
1.2 Contact details

We process the contact details you give us, such as your phone number, e-mail address and delivery addresses. Because many addresses are easier to describe than to find, this can include directions or landmarks you add to help us reach you.

1.3 Order information

When you place an order, we process what you ordered, when you ordered it, the price, your delivery address and the status of your order. This also includes returns, cancellations and complaints.

1.4 Payment information

We process the payment method you choose, such as mobile money, and the information needed to confirm a payment, such as the phone number used and a transaction reference.

Note: You authorise mobile money payments on your own phone. Your PIN is never shared with us.
1.5 Messages and conversations

If you contact us by phone, e-mail, chat or social media, we process the content of the conversation and the contact details you use, so that we can answer you and keep a record of your request.

1.6 Reviews and content you publish

If you write a review, rate a product or upload a photo, we process that content together with the name you choose to display.

1.7 Device and access data

Whenever you use our websites or app, your device automatically sends technical information. We refer to this data as "device and access data". It includes, for example, your IP address, device type, operating system, browser, language settings, and the date and time of your visit.

2. What does Buntu use my data for?

We use your data to take your order, deliver it, receive your payment and answer your questions. We also use it to keep our services safe and to improve them. We do not use it to follow you around other websites.

2.1 Processing your orders

We use your account, contact and order information to accept your order, confirm it to you, and keep you informed about its status.

2.2 Delivery

We use your name, phone number and delivery address to bring your order to you.

Example: When you place an order, we pass your name, phone number and delivery address to the delivery team, so that they can call you before arrival and find you at the door.
2.3 Payment

We use your payment information to request and confirm your payment, to issue refunds and to keep the records we need for our accounts.

2.4 Customer service

We use your messages and order information to answer your questions, resolve complaints and handle returns.

2.5 Fraud prevention

We use order, payment, device and access data to detect and prevent fraud and misuse, and to protect you, our partners and Buntu.

2.6 Improving our services

We analyse how our websites and app are used, in pseudonymised form, to understand what works well and what does not. This helps us decide what to show, what to stock and what to fix.

2.7 With your consent

Where we ask for your consent for a specific purpose, we use your data only for that purpose. You can withdraw your consent at any time.

3. Personalised services

We may use your orders and the products you view to show you items that are more relevant to you. You can use Buntu without personalisation.

3.1 What personalisation means

Personalisation means that the products and content we show you are based on your previous activity, such as orders you have placed, products you have viewed and the language you use.

3.2 Which data we use

For personalisation we use your order information, information about the products you have viewed, and your settings. We do not use the content of your messages for this purpose.

Note: You can use our services without personalisation. In that case, you will see the same general selection that every visitor sees.

4. Info on websites and apps

When you visit our websites or use our app, some technical data is processed automatically so that the service can work. We also use cookies and similar technologies.

4.1 Server log files

Every time you access our websites or app, our servers record device and access data in log files. We use these logs to provide the service, to fix errors and to keep our systems secure.

4.2 Cookies and similar technologies

We use cookies and similar technologies to keep you signed in, remember your basket and language, and understand how our services are used. You can find more information in chapter 12 and on the Data Preferences page.

4.3 Sign-in and account security

When you sign in, we check your details and may ask you to confirm a code sent to your phone. We record sign-in attempts to protect your account against unauthorised access.

4.4 Language settings

We remember whether you use Buntu in Kinyarwanda, English or French, so that you do not have to choose again on every visit.

5. Social media pages

Buntu has pages on social networks such as Instagram. When you visit them, the operator of the network also processes your data, under its own privacy policy.

5.1 Our social media pages

We use our social media pages to share news and products, and to talk with customers. If you comment on a post or send us a message there, we process that content to answer you.

5.2 Data processed by the networks

When you visit our pages, the social network processes data about you, such as your profile and your interactions, according to its own privacy policy. We may receive general statistics from the network about visits to our pages. These statistics do not identify you.

Tip: You can manage what a social network does with your data in your account settings on that network.

6. Notifications

If you allow them, we send you notifications about your orders in the Buntu app. You can switch them off at any time.

6.1 Push notifications

If you allow notifications in the Buntu app, we may send you updates about your orders. You can switch notifications off at any time in your device settings.

7. Who is my data passed on to?

We share your data only with those who need it to complete your order or provide our services, and with authorities where we are required to do so. We do not sell your data.

7.1 Technical service providers

We work with providers of hosting, communication and other technical services. They process data only on our instructions and are bound by written agreements.

7.2 Delivery partners

We pass your name, phone number and delivery address to the people and partners who deliver your order.

7.3 Mobile money providers

To process your payment, we exchange the information needed with your mobile money provider, such as the phone number used and the amount.

7.4 Sellers on Buntu

If you buy a product from a seller other than Buntu, we pass on the information that seller needs to fulfil your order.

7.5 Authorities and other third parties

We pass on data to authorities, courts or other third parties where we are legally required to do so, or where it is necessary to protect our rights or the rights of others.

8. Which data protection rights do I have?

You can ask us for information about your data, and ask us to correct, delete or restrict it. You can also object to certain processing and withdraw your consent. One e-mail is enough to start any of these requests.

8.1 Information

You can ask us which personal data we hold about you, what we use it for and who we share it with.

8.2 Correction

If your data is incorrect or incomplete, you can ask us to correct it.

8.3 Deletion

You can ask us to delete your data. Where we are required to keep certain records, such as records of a sale, we will restrict them instead of deleting them.

8.4 Restriction

You can ask us to restrict the processing of your data, for example while we check whether your data is correct.

8.5 Objection and withdrawal of consent

You can object to the processing of your data for marketing at any time. Where we process your data based on your consent, you can withdraw your consent at any time, with effect for the future.

8.6 Data portability

You can ask us to provide the data you have given us in a common, machine-readable format.

Tip: To exercise any of these rights, write to privacy@buntu.rw. We may ask you for information to confirm your identity first.

9. When will my data be deleted?

We keep your data only as long as we need it for the purposes described in this notice, or as long as we are required to keep it. If you close your account, we delete the data we hold about you, except where we must keep a record.

9.1 General rule

We store your personal data for as long as is necessary to fulfil the purposes described in this Privacy Notice, in particular to fulfil our obligations to you and our legal obligations.

9.2 When you close your account

If you close your account, we delete your account data. Where we are not permitted to delete certain data, such as records of sales, we keep it and restrict it from any further use.

9.3 Messages and support records

We keep messages and support records while your request is open and for a limited period after it has been closed.

9.4 Usage data

Usage data that we analyse to improve our services is stored against a random identifier rather than your name, and is deleted when it is no longer needed.

10. How does Buntu protect my data?

We transmit your personal data over encrypted connections. This applies when you sign in and when you place an order. We also use technical and organisational measures to protect our shop, our app and our other systems against loss, destruction, access, alteration or disclosure by unauthorised persons.

11. Changes to this Privacy Notice and points of contact

We update this Privacy Notice when our processing changes. The date at the top shows when it was last updated.

The version on this page is always the current one. If we make a significant change, we will let you know before it takes effect.

12. Information on cookies

We use cookies and similar technologies that are needed for signing in, your basket and your language, as well as technologies that help us understand how our services are used.

12.1 What cookies are

Cookies are small text files stored on your device when you visit a website. Similar technologies, such as local storage, work in a comparable way.

  • Necessary: These are required for our services to work, for example to keep you signed in, remember your basket and save your language.
  • Analytics: These help us understand how our services are used, so that we can improve them.
  • Marketing: We do not currently use cookies for advertising.
